Athletic Association Meeting

January 27, 2008

Treasurer’s Report – not available

Code of Conduct and Communication with complaints – reminder that all families were issued a hard copy and electronic copy of our AA Code of Conduct at the beginning of the 2007-2008 season. Please bring complaints through our Athletic Association so that we may first work "in house" to obtain a resolution. Much easier to bring any issues to the diocese when we have a unified message or concern to bring forward. Beth will get the Code of Conduct listed on our webpage.

End of season Banquet planning: Ned stated that parents have approached him over the course of the year that the sports banquets are difficult to sit through for two primary reasons: too long and cannot hear people at the microphone. Suggestions were made to:

  • Offer brief highlights of the teams by the coaches, and then still have individual parties.
  • Offer kid-friendly food so not to waste as much. Spaghetti or pizza.
  • Recognize the children differently. Maybe bring younger teams up in a group and not speak individually about each player. Allow coaches of 6th, 7th & 8th graders to speak a little longer since this may be the last time these athletes play in our SJY program.
  • Change sequence – recognition first, the have dinner.
  • Hold recognition in the church, then have dinner in the gym.

After much discussion, it was decided that we hold the banquet, recognition first, then dinner. Ned will do the presentations. John motioned, Ned 2nd.

Beth will ask coaches for one person from their team to help plan, implement and clean-up for the banquet. Banquet will be Saturday evening April 5th with setup on Friday April 4th.

Girls League: As of January 15 SJY removed their 4th, 5th and 6th grade girls from the Girls Lancaster League (LL) CYO. There has been a history of unsportsmanlike conduct from some of the adults in the league. The second weekend in January was the culmination of behavior that our AA does not find acceptable for our children to participate. After much discernment, our AA decided to remove the two teams that we had in the league – Novice and Intermediate.

Ned will follow-up with the president of the Girls Lancaster League CYO, Paul DeAngelis. Ned would like to address a few issues that were not allowed to be addressed at meetings held with the Girls Lancaster League. We want to have closure to SJY partial season.

We have not encountered the same type of issues with the Boys Lancaster League CYO, so our boys’ teams will continue to play in that league.

John Duchek has made many contacts with teams and leagues in the area to have games for both teams for the remainder of the season. People in the parish have been very supportive of the decision of the AA and the assistance to help make the rest of the season viable for the players.

John provided options for 2008-2009 season: 1) Return to the Lancaster League – John is opposed to this option as it is not fruitful for SJY 2) Join York Youth League – possible opportunities there – John and Ned will speak with YLL contacts 3) Harrisburg CYO – need to consider the logistics, but the play should be as good as in LL 4) EYC League – getting in is easy, but level of play may not be as strong 5) Resurrect York Deanery CYO 6) Look at the Adams County CYO (may not have 3rd grade though)

Jack highlighted that players/teams must participate in a CYO League in order to be a member. Fr. Louis recommended that Ned or John speak with Bob Savitsky, Diocesan CYO Director, first before making other contacts.

Gym time: AA needs to release the times that we no longer need the gym so other parishioners may make use of the gym. Bill Walker is finished with the gym this year. Randy Christinason will be finished as of 2/11. Cindy Laubach will be finished 2/2. Beth reviewed the currently reserved times through June with the group. There are many dates that we are releasing. Greg is the final keeper of the schedule. Beth will report released dates and times to Binky.

Other items:

T-ball, Coach Pitch, UP Baseball and UP Softball signups will be Sunday Feb 10 from 11am – 1pm. Mark Shelley with Chad Tanner are organizing signups. Mark is the current Spring Sports T-ball Coach Pitch Coordinator for the teams, but he is looking to step down from this role. Mark offered to guide new coordinator.

Mark also informed the group that they have a commitment for a batting cage with a temporary net cage. The thought is to put it in near the soccer fields. It does baseball and softball pitching. Size is 60’ x 12’. Greg also schedules the soccer fields for UP. Greg believes that there is room down by the larger soccer field. Mark will speak with Pat Byrnes and Lou Pioli to get final approval.

Mark also asked Greg about having t-ball at SJS, making use of the soccer fields rather than paying to use Rudy Park. Greg thinks that it is a possibility. A portable backstop may need to be purchased in order to hold coach pitch at SJS. Mark and Greg will look into this. Bill Walker suggested that for levels higher than t-ball, that Emigsville Park in Manchester Township may be available.

Mark informed the group that the fee is still $25 per player. This only covers the cost of hats and t-shirts, for the most part. May need to raise the cost, but maybe AA could pay for the cost of the fields that need to be rented.

Spirit Day at SJS: During Catholic Schools Week the children are allowed to dress-down wearing their school colors. Majority of coaches agreed that players are allowed to wear their basketball jerseys or cheerleading tops for the day.

Individual Player Trophies: Ned would like to present individual trophies to his players to highlight their strengths during this season. Since our AA does not typically give out trophies, Ned wants to make sure that other AA coaches are ok with him doing this. The majority at the meeting said it is fine. Ned will be sure to indicate that these trophies are from him and not our AA. Bill Walker gave basketballs to each player on his team.

Introductions: Each attendee introduced him/herself and their affiliation with a team and or child(ren).

CYO Coach Orientation – each new coach must attend no later than his/her second year of coaching. Orientation is Sunday, October 28 from 12 to 5pm at the Cardinal Keeler Center in Harrisburg. Each coach must be pre-registered. Veteran coaches stated that this a worthwhile session. The philosophy of CYO is explained.

Code of Conduct: Ned provided copies of the code to all who were present. Ned stated that Pat Byrnes, Father Louis, Lancaster League and the Athletic Association take this Code of Conduct seriously. Message from the Lancaster League is that the kids should be having fun. John read portions from a pamphlet, received at a previous Coaches Orientation, on the behaviors and thought processes of coaches/parents during a game. Reminder – the games are for and about the current kids playing, not the coach, or a parent’s childhood.

Since our AA encountered some negative behavior by parents last year, we are taking a proactive approach, and to remind all of us of what proper behavior is expected during practices, games, and at any other AA supported functions.

Ned asked that Beth to email a copy of the Code of Conduct to each family within AA.

Uniforms: AA has purchased 60 new uniforms intended to suit the 3rd, 4th & 5th grade girls and boys teams. Uniforms should be ready by mid-November.

Sam has organized the uniform distribution for quite a few years. Cindy Fullerton offered to help this year and plan to coordinate next year.

Close of Registrations: Research is being completed and the date will be available on the www.sjy.org and by way of email to families.

Start of Season: Boys Lancaster season begins 12/1/07. Girls start date has not been determined.

Keys for First Church of the Brethren: Jack will be in touch with the coaches who will need to use FC, to go over opening and closing procedures. He will obtain a specific number of keys for these coaches, to be shared. There will be times that coaches will need to coordinate handing their key off to another coach (i.e. when an "opening gym" team is not practicing, the "closing gym" team would need to get the key then to open it.

Background Clearances: If you are a coach within our AA, it is a state law that you must receive the PA State Police Report, and then the Department of Welfare Child Abuse History Clearance. St. Joseph School must hold a copy of the Child Abuse History Clearance on file. Please provide this form to Beth Brennan, so that she may make a clean copy of it to submit to the diocese. Please do this as soon as you receive your report. It will be a single page, tan in color, certificate. Please provide receipts ($10 for PA Police and $10 for Dept of Welfare) to Sam Reichart for reimbursement.

Consent Forms: Sam provided the players forms that should travel with the coach at all times.

Rosters: Each coach is required to complete a roster for their team. Jack handed the blank forms to the coaches. All the information required should be on the spreadsheet that Sam Reichart emailed to all coaches. COMPLETED ROSTERS MUST BE BROUGHT TO THE NEXT AA MEETING, 11/11/07. Beth will get the required signatures from Mrs. Byrnes, Sr. Danny, and Fr. Louis indicating that they are attending SJS, YC, RE or receiving a Catholic Education elsewhere, once they are turned in. Including the cheerleaders, there will be 10 teams altogether.

Lockdown keys: The key to lock down the side gym door – the door the players and parents should enter and exit on practice days, is hanging on the pegboard in the coaches room. It is labeled "side gym door". The key to lock down the front lobby door – for use on game days only, is also hanging on the pegboard, labeled "front door". Be sure to undo the lockdown when closing the gym/school.

Mandatory Boys Coaches Meeting: Sometime in mid-November on a Sunday. Ned and Jack will be in touch to inform the coaches of the date.

Girls’ games: Will be played in Lancaster. There will be no home games at SJS this year.

Basketballs: Boys Novice should use 28.5 size balls. Ned or Jack will check with Larry Hack to see if he has a bag of basketballs.

Access Cards and Coaches Room Keys: Beth will request new access cards for the new coaches and assistants. She will distribute them during practices or at the next meeting, whichever comes first.
