Check Requests
All check requests and purchases made through the Athletic Association must be approved by the AA Treasurer. Anyone who requires a check from the AA must completely fill out a Check Request Form with receipt if applicable. All forms must be submitted to the AA Treasurer. No expenditure will be honored if this procedure is not followed. The St. Joe's parish office will not accept check requests without the approval of the AA Treasurer. Moreover, no one is to utilize any of the open store accounts in the name of the Athletic Association without prior approval of the AA Treasurer. Without Treasurer prior approval, purchases made will be held accountable by purchaser, not the Athletic Association.

Registration
The AA will announce when a current season's registration is open and closed by advertising it through the Church Bulletin, Sunday School Newsletter, In The Loop and in communications to all AA members of the previous year. All Parishioners of St. Joseph from 2nd grade to high school may register in any AA sport as long as they can show participation in Religious Education.
Skill Evaluations
The AA Board insists evaluations should be as objective as possible for all athletes. For the teams to be fair, the AA Board strives to stay consistent with the evaluation process considering all athletes who wish to participate. Evaluations are not required of an athlete, but any athlete who does not participate in an evaluation will be put on the "less skilled" team. Evaluations for basketball teams proceed as followed:
1. The AA Board will organize tryouts during an available time slot in the SJY gym sometime in October.
2. The AA Board will solicit 4-6 individuals that DO NOT have a student trying out at the level they are evaluating. The role of the AA Board will be solely to organize and facilitate the tryout.
3. Tryouts consists of 4 drills stations (ball handling, passing, shooting, and team work such as 2-on-2 or 3-on-3). This is done for the first hour.
4. The teams are created with a series of 5-on-5 games. This is done for the 2nd hour.
5. Each of the 4 evaluators will grade out each player based on the above set criteria.
6. At the conclusion of the session the 4-6 evaluators will come together to collaborate and tally the scoring.
7. The head coach may not give any input to the evaluators. An uninvolved member of the AA board will be present during evaluations to ensure that the process is handled as fairly & unbiasedly as possible.
8. No parent may be present during evaluations.
Once the team is selected, parents will be contacted. E-mail to all team members will be sent simultaneously. The AA Board strongly suggests you check your email regularly during the time of evaluations. The AA Board is not responsible for how your student finds out which team they are on once an email has been sent to all students being evaluated. We prefer students not to find out what team they are placed on by their friends at school. Parents are welcome to contact coaches and AA Board members with any questions or concerns they have in regards to player evaluations as well as coaches may contact parents to discuss these matters. Parents & athletes might want to consider team placement in a league and an athlete's playing time before they accept an invitation to be on a team. The AA Board requires a minimum of one quarter (6 minutes) of playing time per athlete per game. Other than this obligation, the AA Board is not responsible to how much playing time any player gets in a game.
The evaluation process is subject to change with advance notice to all AA members. The AA Board plans to form committee to review the evaluation process and criteria over the next year. Once a fair and unbiased evaluation process has been determined by the committee, it will be instituted and posted on this site.
ByLaws
In the past, the AA has followed the rules created by our ByLaws. These were written in 1992. They are outdated and are no longer in line with Diocesan policies and regulations. Fr. Louis has suspended the ByLaws and the AA will be creating Guiding Principles this year to reflect current times, values and priorities of the Diosese and St. Joseph Parish.
